In former FZK (now KIT Campus North) a company agreement regulated among other things in which form user files may be accessed.
Permissions to access user storage area
- Personal storage area:
Upon request a personal storage area has to be made available for each user which can be accessed by this user exclusively. The employee has to ensure that files containing business relevant data can be accessed on other storage area
In KIT there is now a personal home network share, which can be accessed by each user exclusively. In IMT this network share is mapped for employees with drive letter V:. For students it is mapped with drive letter U:. Access to this network share by another user requires the agreement of the works council. This access may be permitted only in specific and well-justified cases. The maximum capacity for this network share is 10GB per user. So please don't use it for private files but for personal business files only (e.g. communication with employment office or the medicine). Private files should be saved to USB-sticks or the like.
In IMT there are addition options available:
In addition to network drive V: each employee has an individual network drive U:. Access to U: is restricted to this user and the IMT administrators only.
Those who want to save personal files on the local disk which should not be accessed by other colleages should create a subfolder Personal in the root level of My documents. A subfolder with this name is a binding information for the administrators that the explicit consent of the user is needed to give anyone else (including the superior) access to this folder. In urgent cases the superior may request from the system-administration a copy of specific files in all other local folders or drive U. (for employees) if the owner is absent and cannot be reached by any means. The user will then be informed by e-mail about this. Usually the user will be asked by e-mail if he agrees that file copies will be forwarded. The administrators will forward such file copies without confirmation by the user only in well-founded exceptions, and only if the superior exactly defines which files are needed.
Please note that under no circumstances business relevant data must e saved to the personal drive V: (or U: for students).
